Every employer must have OSH documentation from the first employee. Its basis is a written risk assessment, and it must reflect the actual activities in your company – which is why we prepare it to measure, not from a template.

It usually also includes a list of prohibited work and activities at the workplace and a procedure for checking the use of alcohol or narcotic substances. Documentation for fire protection is on the Fire protection page.
Templates from the internet show the structure, but the law requires the risk assessment to be based on all the activities your employees actually perform. The PPE list, prohibited work and training content all derive from it. During an inspection, the Labour Inspectorate compares the documents with reality, and breaches can lead to fines of up to €100,000.

A written risk assessment, a list of work prohibited for pregnant women, mothers and young people, an internal regulation on briefing employees and briefing records, a written first aid and evacuation procedure and, where needed, a PPE list and a drinking regime regulation. Companies with 11 or more employees in sectors listed in Annex 1 of the Act also need an OSH policy.

Usually a safety technician in cooperation with the managing director, who approves the documentation. The title “authorised safety technician” has not existed since 1 January 2023.
